scheduling faqs

Q: When will I get my schedules?
A:  You will receive an email from your child's coach with your team number and practice time for week 1. If you have NOT heard from your coach by the Friday prior to your first game, please email your coach.

Q: What days and times are practices & games?
A: Practice take place immediately before your child's scheduled game time each week, so you make one trip to the field!  Games are scheduled on weekends between 9:00 am and 7:00 pm.

Because we run a dynamic community league with thousands of players across multiple divisions, specific games times vary from week to week. We do not have static, fixed field times like a small pickup league - our goal is to ensure teams get to play against a wide variety of different opponents, making the season far more fun and diverse for the players!

Q: What days will my child play?
A:  You select the day you play during the registration process and it stays consistent throughout the season.

Standard Divisions:  Your game day (Saturday or Sunday) stays consistent based on the specific division you select during registration.

FLEX Divisions: Game days rotate week to week.  Your child might play on Saturday on one weekend, Sunday the next.

Q: Why don't you Publish the schedules before registration closes?
A: Creating our league schedule is a massive, highly detailed puzzle the we piece together by hand. Creating the final schedules relies on three factors:

1. Total Registration Numbers: We need the final count of players to divide the divisions evenly
2. Volunteer Coach Availability: We prioritize our parent voluteer coaches, making sure game times fit their busy schedules.  3. Family Conflict Surveys:  Once rosters are set, coaches survey their families to identify major scheduling conflicts.

Q: What is your process to create schedules?
Families are busy, so we put in the extra effort to build our schedules around human availability rather than utilizing a computer algorithm.

1. Roster & Divisions: After registration closes, we build teams and assign divisions.
2. Family Conflict Survey: Coaches check in with their team to gather major availability conflicts.
3. The Coach's Meeting:  The league assigns the weekly team matchups, and coaches then collaborate at our scheduling meeting to choose game times that accommodate as many family conflicts as possible.
4. Rescheduling Solutions:  If a conflict can not be resolved, coaches work together to arrange double-headers, earlier/later time slots, or occasionally alternate weekend date if both teams agree.
5. Draft Review:  The  first draft of the schedule is sent strictly to the coaches to catch any inconsistencies.
6. Final Schedule Release:  Once every puzzle piece is locked in, the  official schedule is emailed by the coach to their families.

Q: Can the team have additional practices during the week?
A: All families commit to a single practice and game each week which both happen on the same day/time, back to back. Additional practices are not something that the league sponsors, so any times outside of the one hour dedicated on game day are up to each individual family and coach.

Q: What if my child can not make the game durinng a certain week?
A:  Please inform your coach immediately so they can plan accordingly.

Q: What if our team does not have enough players to field a team?
A:  Our scheduling process is designed to prevent this from happening.
We do our best to work with coaches to find an alternative time that works for both teams, but it is not guaranteed.

Q: Are there make-up games for game cancellations due to inclement weather?
A:  No.

Q:  Why do some divisions only offer FLEX scheduling?
A:  We use FLEX scheduling to create the best possible experience for your child. Once players reach the 5th through 8th grades, skill levels between teams can vary drastically. By using a flexible schedule across a larger pool of teams, we can adjust matchups dynamically. This ensures closer, more competitive games and helps eliminate frustrating blowouts.
